This Privacy Policy explains our practices regarding the personal information you provide when using our website at vote.online. By using our website, you agree to the terms outlined here.

1. Information We Collect

1.1 Personal Information Used For Civic Engagement

When you use our online tools, we collect information to help support civic engagement efforts, which typically includes:

  • Full legal name

  • Phone Number (optional)
  • Date of Birth
  • Residential Address

1.2 Pre-Registration Pledge Information (For Individuals Under 18)

For individuals who are not yet eligible to register to vote but wish to pledge to register when they become eligible, we collect:

  • First and last name
  • Email address
  • Phone Number (optional)
  • Date of birth (to determine eligibility)
  • Residential ZIP Code

Individuals under 13 must have verifiable parental or guardian consent before submitting a pledge. See Section 8 for details.

Protection of Minors’ Information:

  • Pledge information is stored securely and separately from voter registration data
  • We only use this information to send reminders when the individual becomes eligible to register
  • No pledge information is shared with third parties (except as required by law)
  • Parents or guardians can request deletion of their child’s pledge information at any time by contacting [email protected]
  • Individuals can opt out of reminders at any time
  • We comply with the Children’s Online Privacy Protection Act (COPPA) for individuals under 13

2.2 Collection and Use of Information from Minors

Vote Online collects limited personal information from individuals under 18 through our pre-registration pledge program. This information is handled with heightened care and the following specific protections apply:

  • What we collect: Name, email address, date of birth, and state of residence. We do not collect more information than is necessary to administer the pledge program.
  • How we use it: Solely to calculate eligibility dates and send registration reminders when the individual turns 18. We do not use minor information for analytics, advertising, or any other purpose.
  • How we store it: Pledge information is stored separately from adult user data, with enhanced access controls and security protections.
  • Who we share it with: No one. Pledge information from minors is never shared with third parties, election officials, or advertisers, except as required by law.
  • Parental rights: Parents and legal guardians may request access to, modification of, or deletion of their child’s information at any time by contacting [email protected].
  • COPPA compliance: For individuals under 13, we require verifiable parental consent before collecting any personal information. If we become aware that information has been submitted by a child under 13 without parental consent, we will delete it promptly.
  • Retention: Pledge information is automatically deleted two years after the individual’s eligibility date if no registration is completed, or earlier upon request.

2.3 Election Reminders and Updates

If you sign up for election reminders, we use your contact information to send you:

  • Upcoming election dates
  • Voter registration deadlines
  • Polling location information
  • Important voting-related updates

All communications are nonpartisan and purely informational.

2.4 Newsletter and Updates

If you subscribe to our newsletter, we send periodic updates about our organization’s work, voting rights issues, and ways to support accessible voter registration. You can unsubscribe at any time.

2.5 Website Improvement

We use website usage data to:

4.1 Opt-Out of Communications

You can opt out of our communications at any time:

  • Reply “STOP” to any text message

Note: Opting out of communications does not affect your voter registration status or delete your pledge information. To delete pledge information, see section 4.3 below.

4.2 Access and Update Your Information

You can request to review or update the personal information we have about you by contacting us at [email protected]. Please note that to update your voter registration, you will need to contact your state or local election office directly.

4.3 Delete Your Information

You can request deletion of your personal information by contacting us. We will delete your information from our systems, except where we are required by law to retain it (such as donation records for tax purposes).

For individuals under 18: Parents or legal guardians may request deletion of their child’s pledge information at any time. Individuals who submitted pledge information can also request deletion themselves.

Please note that deleting information from Vote Online does not affect your voter registration status. Contact your state or local election office for changes to your registration.

5. Data Security

We take the security of your information seriously and use industry-standard practices to protect it:

  • Encrypted transmission of data (SSL/TLS)
  • Secure data storage with access controls
  • Regular security assessments
  • Limited employee access to personal information
  • Enhanced protections for information from individuals under 18

While we implement strong security measures, please understand that no internet transmission is 100% secure. We cannot guarantee absolute security but work diligently to protect your information.

For individuals under 13: We comply with the Children’s Online Privacy Protection Act (COPPA). If you are under 13 and wish to submit a pledge, please have a parent or guardian contact us at [email protected].

For individuals 13-17: If you submit a pre-registration pledge, your information is handled with enhanced privacy protections. Parents or guardians can request access to, modification of, or deletion of their child’s information at any time.

If a parent or guardian becomes aware that their child has provided us with information without their knowledge, please contact us immediately at [email protected] and we will address your concerns.

9. State-Specific Rights

Depending on your state, you may have additional privacy rights:

  • California (CCPA/CPRA): Right to know, delete, and opt-out of sale (note: we do not sell your information)
  • Virginia (VCDPA): Right to access, correct, delete, and opt-out of targeted advertising
  • Colorado, Connecticut, Utah: Similar rights as Virginia
